Getting started

What do I need to run it?

A web browser. Pool Check-in™ works on a phone, a tablet in a stand, a Chromebook or a laptop. There's nothing to install.

Who can check people in?

Anyone you give a sign-in to: a board member who volunteers on weekends, a pool monitor, a lifeguard at the gate or a front-desk employee. Each person has their own username, so every check-in shows who made it.

How do we get our resident list in?

Upload it as an Excel or CSV file. The importer finds the address and name columns on its own, and if the file has a dues column it shows you which households it would flag before anything changes.

Signing in

Is there one sign-in for everyone?

Yes. Gate staff and managers use the same sign-in page, and each account opens on its own screen.

Why does a new device ask for a PIN?

The first time someone checks people in on a new phone or tablet, they enter the PIN your administrator set. That registers the device, and it isn't asked again there. Your administrator can cancel a device's registration at any time.

What if someone forgets their password?

Your administrator resets it. Resetting a password signs that account out everywhere it was signed in.

At the gate

Can we limit guests?

Yes. You set the most guests one household may bring, and the attendant can't go over it.

What happens with a household that's behind on dues?

The attendant sees a warning with your note and can still let them in. The check-in records that they did. Households you've barred or suspended are stopped at the gate.

Can we bar one person without barring their family?

Yes. The attendant is shown who is barred and confirms they aren't in the group before checking the household in.

What if the wifi drops?

Check-ins wait on the device and send themselves once the connection is back. Each one is recorded once, even if it's sent twice.

Your data

Who can see our residents?

Only the people you give a sign-in to, and only for the communities they're assigned. Each request is checked on the server.

Can we export our records?

Yes. A manager can download the check-in log as a spreadsheet for any range of dates.
